The privacy of our employees and clients is our utmost concern at OneStaffInc. Our objective of presenting you with the information on this policy page is to make you aware of what personal information we collect, how it is being used, the length at which it is kept, what may be disclosed to others, as well as ways by which you can request access to your personal information or obtain more information as regards to our privacy policies.

Personal Information:

The term personal information refers to any form of information about you apart from your name, business title, business address, business e-mail address, business telephone number or business fax number. Do bear in mind that names, addresses, e-mail addresses and telephone numbers listed in the telephone or other directories are not considered to be personal information.

We collect relevant personal information whenever you engage in one or more of the following with One Staff Inc. whether it is directly or indirectly through our clients and representatives. Personal information may be collected verbally or non-verbally. This information is also sent to the claims management department when required for purposes of Workers Compensation claims and HR issues.

The personal information we collect may consist of the following information:

  • Name, address, telephone number, email address and personal emergency contact information.
  • Occupation (both present and past), work and pay history, credentials to support training and/or education, language preference
  • Date of birth (this will only be necessary if you are between the ages of 18 and 65 for purposes of Canada Pension or benefits. This will also be needed if requested by Workers Compensation Board in the event of a workplace injury.
  • Social insurance number, work permit number (required by law at time of hire) and banking information for direct deposit
  • Driver's license number or other form of photo identification
  • Marital status only if needed for benefits application.


We take responsibility for the protection of personal information within our control.

Safeguarding Personal Information:

Your personal information is not accessible to those who need access to perform their work. We use your personal information for reasons such as providing customer service to you: obtain personal benefits, provide employment services including references and employment confirmation, provide referral to clients, process payment by direct deposit or cheque, and provide updates and follow-up to obtain your feedback on our level of service.

Disclosing or Sharing Personal Information:

We do not sell your personal information to any outside source. We may disclose your personal information when we are required or permitted to do so by law to Canada Customs, Workers Compensation Board, Courts, and other government agencies. We may also be required to share some or all of your personal information with third party service providers including the following: prospective and existing clients, financial institutions in case of direct deposit, insurance companies in cases of benefits, staffing services representatives for quality assessment and risk management as well as human resource management companies and claims companies if need be.

Retention and Disposition of Personal Information:

OneStaff Inc. will preserve your personal information within the period we think you can be referred for employment. We will have to comply when there are legal requirements related with the retention period of personal information. We ensure to safeguard personal information against unauthorized access to prevent fraudulent use and misuse.

We will dispose personal information after the suitable retention period with the use of approved methods like paper shredding and electronic file deletion. A form is made available to identify the personal information we collect, how we use it, what may be disclosed to others, and the length at which it is kept. These forms are part of the application and your signature shows that you are aware of this and you have given your consent.

Your Rights to Limit Use of Personal Information:

The personal information we bring together is required to provide you with services related to your placement, qualifications, and assigned employment. Besides this, it is also used to maintain and create better relationship with you so that we can serve you better.
